This privacy policy explains how Alice’s WonderDance Foundation (“we“, “us” or “our“) collects, uses and protects information about visitors and supporters when you use our website at aliceswonderdance.org (the “Site“). We are a not‑for‑profit foundation inspired by Alice Da Silva Aguiar and our mission is to spread Alice’s magic by bringing happiness, opportunity and inclusion to a new generation. Our Site allows people to learn about our work, contact us, donate via third‑party platforms and purchase merchandise.

1. Who we are

  • Data Controller: The data controller responsible for your personal information is Alice’s WonderDance Foundation. We are based in the United Kingdom and operate in partnership with the Community Foundation for Lancashire and Merseyside. 2. Information we collect

We collect personal data only when it is necessary for our charitable activities. The types of information we collect include:

  1. Information you provide to us:

    • Contact form data – If you contact us using the form on the Site, you provide your name, email address, phone number and a message. These details are necessary for us to respond to your enquiry.

    • Direct communications – When you email us at info@aliceswonderdance.org or communicate by other means (e.g. social media), we receive the information you share, which may include personal details and any supporting documents.

    • Donations via JustGiving – Donations are processed through JustGiving (an external platform). We do not collect or process your payment card details on our Site. JustGiving shares with us limited information about your donation, such as your name, donation amount and any message you choose to leave. This helps us to thank donors and keep fundraising records.

    • Merchandise orders – Merchandise is sold through aliceswonderdance.deco‑apparel.com (a third‑party store). The store may share with us order details (e.g. items purchased and delivery information) so we can fulfil your order or thank you, but payment is processed by the store’s payment provider.

    • Fundraising activities – If you start a fundraising campaign or take part in an event, we may collect details such as your name, fundraising target and campaign story. You might provide additional information such as photos or personal messages.

  2. Automatically collected data:

    • Log and usage data – When you visit the Site, we and our hosting provider collect technical information such as your IP address, browser type, operating system and approximate location. This helps us protect the Site and understand how visitors use it.

    • Cookies and similar technologies – We use necessary cookies to run our WordPress site. We link to our JustGiving campaign and external merchandise store; those sites have their own cookies and privacy policies.

    • Analytics – We may use analytics services (e.g. Google Analytics via Google Tag Manager) to understand how our Site is used. These services collect anonymous information about page views, visitor numbers and traffic sources. Analytics cookies only collect aggregated statistics; they do not identify individual visitors.

3. How we use your information

We process personal data only where there is a lawful basis. We use your information to:

  • Administer fundraising and donations – We receive donor data from JustGiving to acknowledge donations and keep records of fundraising campaigns. When you donate or fundraise on JustGiving, their privacy policy applies. We retain donation information for accounting and regulatory purposes.

  • Provide merchandise – When you purchase merchandise from our external store, we may process order details to fulfil your order and support our fundraising. Payment information is handled by the store and its payment processor; we do not store or process card details.

  • Improve our Site and services – Technical and analytics data help us maintain and improve the Site, detect fraud and analyse usage trends. Our lawful basis is legitimate interests in ensuring our Site runs properly and remains secure.

  • Marketing and updates – If you ask to receive updates about our work or fundraising activities, we will send you occasional news. We rely on consent to send marketing communications. You may unsubscribe at any time.

  • Legal obligations – We may process your information where necessary to comply with applicable laws, regulations or requests from authorities, for example in relation to charitable accounting or when responding to a legal request.

4. Sharing your information

We do not sell or rent your personal data. We may share your information with:

  • Service providers – Companies who host our website, provide email services, analytics providers and technical support. They are only allowed to process your data on our instructions and must protect it.

  • Fundraising and merchandise platforms – JustGiving and Deco Apparel act as independent controllers for donation and merchandise transactions. They process your information according to their own privacy policies. We receive limited donor or order data from them for our records.

  • Regulatory bodies – We may disclose information to regulators, charities commissions or tax authorities where required by law.

  • Law enforcement – We will share information if it is necessary to investigate or prevent fraud, harm or other illegal activity.

5. International transfers

Our service providers and some third‑party platforms may process personal data outside the United Kingdom/European Economic Area (EEA). For example, analytics or social‑media providers may have servers in the United States. When data is transferred internationally, we ensure that safeguards are in place, such as Standard Contractual Clauses or other approved transfer mechanisms.

6. Data retention

We keep personal data only for as long as necessary for the purpose for which it was collected:

  • Enquiry data – Contact form submissions and email correspondence are kept for up to two years, or longer if needed to deal with ongoing issues.

  • Donor and fundraising records – We retain donation information for at least six years to comply with charity accounting and tax regulations.

  • Analytics data – Anonymous usage data is retained according to the retention period of our analytics provider (e.g. 14 months for Google Analytics), after which it is deleted or aggregated.

  • Legal obligations – We may keep data longer if required by law or to establish, exercise or defend legal claims.

We employ appropriate technical and organisational measures to protect personal data from unauthorised access, loss or misuse. These include secure hosting, encryption of data in transit (SSL), access controls for staff and regular software updates. However, no method of transmitting or storing information is completely secure.
